Food and Liability Policy

Non-Refundable Deposits

  • A 50% non-refundable deposit is required at the time of booking to reserve your date and services.

  • Any applicable delivery fees, specialty rental fees, venue fees, or permitting fees are also non-refundable.

  • Invoices must be paid within 24 hours of receipt to secure your reservation.

  • If payment is not received within 24 hours, your requested date and services may be released and made available to other clients.

  • The Coastal Hostess does not offer refunds once a booking has been confirmed.

Cancellation Policy

Client-Initiated Cancellations

If you choose to cancel your event or concierge services for any reason:

  • The 50% deposit will not be refunded.

  • Any payments made toward specialty items, custom décor, food, beverages, rentals, floral arrangements, balloons, or personalized items are non-refundable.

  • Any applicable permitting or third-party vendor fees are non-refundable.​

Weather Policy (Outdoor Events Only)

Due to the nature of outdoor events, weather conditions can be unpredictable, and refunds cannot be issued based on weather.

Our team will assess weather conditions as close to your scheduled event time as possible.

If weather conditions prevent a safe outdoor setup, clients may choose one of the following options:

Option 1: Relocate to an Indoor Location

If approved and accessible, we may relocate your event setup to your:

  • Vacation rental

  • Private residence

  • Condo

  • Indoor venue

If you choose this option:

  • Your event will proceed as scheduled.

  • No refunds or future credits will be issued.

Option 2: Cancel 72 Hours Prior

If you are concerned about forecasted weather, you may cancel your event 72 hours prior to your scheduled event time.

If canceled within this timeframe:

  • Your 50% deposit remains non-refundable.

  • Any specialty purchases, rentals, or vendor fees remain non-refundable.

  • A $50 administrative fee may apply.

Option 3: Weather-Related Rescheduling Credit

If severe weather prevents our team from safely completing your setup at the scheduled time, you may receive a credit toward a future event.

Rescheduling credits:

  • Are based on your package total minus any non-refundable specialty purchases, rentals, vendor fees, or permitting fees.

  • Are subject to The Coastal Hostess’ availability.

  • Must be used within 12 months of the original event date.

Rescheduling Policy

Clients may request to reschedule based on availability.

Please note:

  • Any additional vendor, rental, delivery, or permitting fees associated with rescheduling are the responsibility of the client.

  • Custom or perishable items may need to be repurchased.

Final Policy Statement

By submitting payment, you acknowledge and agree to all policies outlined above.

The Coastal Hostess reserves the right to make reasonable adjustments to event logistics based on weather, venue restrictions, accessibility, safety concerns, or circumstances outside of our control.

All payments made to The Coastal Hostess are subject to the policies outlined herein.

Food, Beverage & Alcohol Disclaimer

The Coastal Hostess provides concierge shopping, delivery, styling, and setup services for food, beverages, and specialty items at the client’s request.

By booking our services, the client acknowledges and agrees to the following:

Food & Beverage

  • The Coastal Hostess is not responsible for food allergies, dietary restrictions, ingredient sensitivities, or adverse reactions related to food or beverage items requested by the client.

  • It is the client’s responsibility to disclose any allergies, dietary restrictions, or special requests prior to purchasing or event setup.

  • Once food, beverages, perishable items, or specialty grocery items have been purchased on the client’s behalf, these items are non-refundable.

  • The Coastal Hostess is not responsible for food quality, manufacturer defects, spoilage, supply shortages, substitutions, or issues related to third-party grocery stores, restaurants, caterers, bakeries, or vendors.

Alcohol

  • The Coastal Hostess does not sell, serve, distribute, or bartend alcoholic beverages.

  • Alcohol may only be purchased on behalf of the client where legally permitted and must be requested by a client who is 21 years of age or older.

  • Valid government-issued identification may be required before alcohol purchases are made.

  • The client assumes full responsibility for the possession, consumption, service, and distribution of alcoholic beverages during their event or stay.

  • The Coastal Hostess assumes no liability for injuries, damages, accidents, citations, intoxication, or claims resulting from alcohol consumption by the client or their guests.

Delivery & Access

  • The client is responsible for ensuring timely access to the property, including gate codes, entry instructions, parking information, and any required property approvals.

  • The Coastal Hostess is not responsible for delays, spoiled perishables, or incomplete setups caused by denied access, incorrect access information, property restrictions, or delayed client communication.

By booking services with The Coastal Hostess, the client acknowledges and agrees to the following:

Property Access

  • The client is responsible for providing accurate property access information, including addresses, gate codes, entry instructions, parking details, contact information, and any required approvals from property owners, vacation rental managers, condominium associations, or venues.

  • The Coastal Hostess is not responsible for delays, incomplete setups, spoiled perishable items, or missed delivery windows resulting from inaccurate information, denied access, restricted entry, or lack of timely communication from the client.

Client Property & Personal Belongings

  • The Coastal Hostess will exercise reasonable care while working within the client’s property; however, The Coastal Hostess shall not be responsible for loss of, damage to, or theft of the client’s personal belongings, valuables, decorations, gifts, food, beverages, or other items before, during, or after services are completed.

Rental Items, Décor & Equipment

  • Any rental items, décor, backdrops, balloons, tablescapes, serving pieces, equipment, or specialty items provided by The Coastal Hostess remain the property of The Coastal Hostess unless otherwise stated in writing.

  • The client accepts full responsibility for any loss, theft, excessive damage, misuse, staining, breakage, or destruction of rented or borrowed items caused by the client, guests, vendors, children, pets, or other third parties during the event or rental period.

  • The client authorizes The Coastal Hostess to charge the replacement or repair cost for damaged or missing items.

Property Damage

  • The Coastal Hostess is not responsible for pre-existing damage to the event location, vacation rental, private residence, condominium, or venue.

  • The Coastal Hostess shall not be liable for incidental damage caused by normal setup and breakdown activities unless caused by gross negligence or willful misconduct.

Guest Conduct & Assumption of Risk

  • The client assumes full responsibility for the conduct, safety, and supervision of all guests attending the event or occupying the property.

  • The Coastal Hostess shall not be liable for accidents, injuries, property damage, theft, illness, alcohol-related incidents, or other claims arising from the actions of the client, guests, vendors, or third parties.

Force Majeure

  • The Coastal Hostess shall not be held liable for delays, cancellations, or inability to perform services due to circumstances beyond reasonable control, including but not limited to severe weather, flooding, hurricanes, road closures, power outages, vendor shortages, governmental restrictions, acts of God, or other unforeseen events.
